Terms and Conditions of Use
Kyambogo Students Hub · Effective date: 17 October 2026
1. Introduction
Kyambogo Students Hub is an online platform designed to help students access educational resources, find accommodation, locate university offices, connect with internship opportunities, report lost and found items, buy and sell products, and access other student-related services.
By accessing, browsing, registering for or using this Platform, you agree to comply with these Terms and Conditions. If you do not agree, you should discontinue using the services covered by these terms.
2. Relationship with Kyambogo University
Kyambogo Students Hub is not an official university service unless formally endorsed by Kyambogo University.
The Platform must not be interpreted as representing the University, its management, academic departments or staff without express authorisation.
University names, academic materials, photographs and other identifying materials remain subject to the rights of their respective owners.
Users should verify official university information through the appropriate university offices and official communication channels.
3. Eligibility and User Accounts
- Users must provide accurate information when creating or updating an account.
- Users must not impersonate another person or create accounts using another person's information without authorisation.
- Users are responsible for keeping their passwords and account credentials confidential.
- Users must notify the Platform administrator if they suspect unauthorised access to their accounts.
- Users must not share, sell, rent or transfer their accounts without permission.
- Where a service requires users to meet a minimum age or other eligibility requirement, users must satisfy that requirement.
- We reserve the right to restrict, suspend or terminate accounts involved in fraud, impersonation, abuse or serious violations of these terms, subject to applicable law.
4. Acceptable Use
Users agree not to:
- Publish false, misleading, fraudulent, defamatory or unlawful information.
- Harass, threaten, bully or discriminate against other users.
- Upload malicious software or attempt to compromise the Platform's security.
- Access restricted administrative pages or other users' accounts without authorisation.
- Scrape, copy or extract information in bulk without permission.
- Use bots or automated tools to disrupt services.
- Publish pornography, illegal material, scams or prohibited goods.
- Misuse another person's personal information, photographs, contact details or identity.
- Attempt to bypass payments, security controls or access restrictions.
Violations may result in removal of content, suspension of accounts or referral to appropriate authorities where legally justified.
5. Educational Resources and Past Papers
The Platform may provide past examination papers, course-unit resources, examination timetables, study materials and other educational information.
- Materials are provided for legitimate educational and revision purposes.
- Users must not represent unofficial materials as official university publications.
- Users must verify examination dates, venues, timetables and academic requirements with the relevant university authority.
- We do not guarantee that every paper, answer, timetable or resource is complete, accurate or current.
- Users must not upload leaked examinations, confidential assessments, unauthorised examination materials or content intended to facilitate academic dishonesty.
- Users must respect copyright and intellectual property rights. Downloading a document does not automatically grant permission to reproduce, sell, distribute or republish it.
- Users who upload educational materials must have the necessary rights or permission to share them.
We may remove materials following a credible copyright complaint, a request from an authorised rights holder or another lawful reason.
6. Lost and Found Services
The Lost and Found section enables users to publish and view information about items reportedly lost or found within the university community.
- Users must provide honest descriptions of items and must not make fraudulent ownership claims.
- Users should verify ownership before returning or collecting an item.
- Users should avoid publishing complete identity-document numbers, passwords, bank details or other sensitive information.
- The Platform does not guarantee that an item will be recovered or that a claimant is the rightful owner.
- Users should arrange exchanges in safe public locations and avoid sharing unnecessary personal information.
- Users must not demand money through threats, deception or unlawful conduct in exchange for returning property.
- We may remove misleading, outdated, duplicate or inappropriate listings.
Unless separately agreed in writing, Kyambogo Students Hub does not take custody of lost or found property and is not the owner of items listed by users.
7. Buy and Sell Marketplace
The Buy and Sell section allows users to advertise products and contact prospective buyers or sellers.
Seller responsibilities
- Provide truthful product descriptions, prices, photographs and contact details.
- Ensure that products offered for sale are lawful and that the seller has the right to sell them.
- Disclose material defects and other information necessary for an informed purchase.
- Update or remove listings when products have been sold or are no longer available.
- Honour representations made to buyers, subject to applicable law.
Buyer responsibilities
- Verify the condition, price and availability of products before paying.
- Confirm the identity of the seller and the payment recipient.
- Avoid sending money to suspicious accounts or unknown parties without appropriate verification.
- Keep transaction records and report suspected fraud promptly.
Kyambogo Students Hub facilitates the discovery of listings and connections between users. Unless expressly stated otherwise, it does not own, inspect, manufacture, deliver or guarantee products listed by users.
Buyers and sellers remain responsible for their transactions, subject to applicable law and any additional terms expressly agreed with the Platform.
We do not guarantee the honesty, identity, financial capacity or performance of any buyer or seller.
8. Advertising Fees and Paid Listings
Some advertising and promotional services may require payment.
- The applicable price, fee, package duration and conditions must be displayed before the user confirms payment.
- Where the applicable Buy and Sell advertising fee is set at 10% of the advertised product price, the fee will be calculated and disclosed before payment.
- A listing must not be treated as successfully published merely because a user clicks the Advertise button or initiates a payment.
- Publication may depend on confirmed payment, successful submission, moderation and compliance with the relevant requirements.
- Abandoned, failed or unconfirmed payments must not be treated as successful payments.
- Users must not deliberately manipulate product prices, payment confirmations or listing information to evade fees.
- Paid advertisements must not contain misleading claims, prohibited products or fraudulent offers.
- Refunds, cancellations and disputes will be handled according to the disclosed policy for the relevant service and applicable law.
Any changes to advertising prices or packages will apply according to the notice and transition arrangements communicated by the Platform.
9. Find Hostel Services
The Find Hostel section may display accommodation names, locations, prices, estimated travel costs, availability information, photographs, facilities, ratings, contact details and videos.
- Hostel owners, custodians or authorised representatives are responsible for the accuracy of information they submit.
- Availability, rent, transport costs and travel times may change without notice.
- Users should independently confirm rent, deposits, additional charges, vacancy status, security and tenancy conditions before making commitments.
- Photographs and videos may not fully represent current accommodation conditions.
- A displayed rating or review is not a guarantee of quality, safety or suitability.
- Users should inspect accommodation where reasonably possible and verify the identity and authority of the person offering it.
- The Platform does not guarantee accommodation, reserve rooms or act as a landlord unless a specific service expressly provides otherwise.
We may mark information as outdated, request verification or remove listings that are misleading or no longer valid.
10. Find Office and University Information
The Find Office section may provide office names, building locations, floors, directions, services and working hours.
Such information is provided to assist navigation and should not replace official instructions from the relevant university office.
Office locations, services, opening hours and administrative procedures may change. Users should confirm important information before travelling or relying on it.
The Platform is not responsible for delays or inconvenience caused by inaccurate third-party information, except where liability cannot lawfully be excluded.
11. Internships, Jobs and Opportunities
The Platform may display internship opportunities, job advertisements, scholarships, events and other opportunities.
- Users must verify the identity of the organisation offering an opportunity.
- Publication does not constitute an endorsement, guarantee or promise of employment.
- We do not guarantee selection, acceptance, payment, authenticity or continued availability of an opportunity.
- Users should not pay recruitment fees or disclose sensitive documents to unverified parties.
- Organisations submitting opportunities must have the authority to advertise them and must provide accurate information.
- Suspected scams, discriminatory advertisements and misleading opportunities may be reported for review.
12. Payments and Transaction Confirmation
Where paid services are enabled, payments may be processed through supported payment providers, including mobile money or bank-card services.
- Available payment methods, charges and conditions will be displayed where applicable.
- A payment is successful only when the relevant payment provider or authorised verification system confirms the transaction.
- A pending, failed, cancelled or unverified transaction must not be represented as a completed payment.
- Users should retain receipts, transaction references and other payment evidence.
- Users must never disclose their PINs, passwords, one-time verification codes or other confidential authentication credentials to Platform staff.
- Payment processing may be subject to the separate terms of the relevant provider.
- Refunds, reversals and disputed transactions will be assessed under the applicable service policy, payment-provider rules and law.
The Platform will not knowingly describe a transaction as received merely because a user supplies a screenshot or claims to have paid.
13. Premium Access, Free Trials and Subscriptions
Some parts of the Platform may be offered free, and some may be offered only to users with active Premium access. The Platform administrator decides which services, resources or features are free, Premium or hidden, and may apply this to the whole Platform or to specific resources only.
- Premium access may be offered as a semester, monthly, yearly or other plan. The name, price in Uganda shillings (UGX) and length of each plan will be shown before you pay.
- A free trial may be offered for a stated number of days. A free trial is not guaranteed, may be limited to new or eligible users, and may be changed or withdrawn for future users.
- Premium access starts when a payment is confirmed under section 12, or when a free trial begins, and ends automatically when the paid or trial period ends. Unless a plan clearly says it renews automatically, it does not renew by itself.
- When Premium access or a free trial ends, resources that are marked Premium become locked for your account until you renew. Your account and any content you posted stay available under these terms.
- The Platform may send reminders and receipts by in-app notification or email, for example before a plan ends. A missed reminder does not extend access.
- The Platform may change prices, plans, and which resources are free, Premium or hidden. A price change applies to purchases made after the change and does not alter a period you have already paid for. If a resource is moved to Premium, it does not entitle anyone to free access because it was free earlier.
- Premium access is personal to the account that paid for it. You must not share, sell, rent or transfer your account or Premium access, or use another person's access.
- Attempting to bypass locks, payments or access controls, or to copy locked resources in bulk, breaches these terms and may lead to suspension under section 18.
- Some resources on the Platform may belong to the University, lecturers or other rights holders. Where the Platform charges for access, it charges for its own service of organising and delivering information. It does not claim ownership of third-party materials and does not sell them as official University products.
14. Refund Policy
This section is the service policy referred to in section 12. It applies to Premium plans and other paid services on the Platform, unless a different rule is shown at checkout.
- Payments for a Premium plan are generally non-refundable once Premium access has been activated and the period has started, because the service is delivered immediately.
- A refund, or an extension of access of equal value, may be given where: you were charged twice for the same plan; you were charged but Premium access was not activated within a reasonable time; or Premium access could not be used because of a fault on the Platform that was not resolved within a reasonable time.
- To request a refund, contact the Platform administrator using the details in section 26 within 7 days of the payment. Include the transaction reference, the date and amount paid, the phone number or card used, and the account email.
- Every request is checked against the payment provider's records. A refund is not made on the strength of a screenshot or a claim of payment alone.
- Approved refunds are returned to the original payment method where the payment provider allows it. The time this takes depends on the provider, and provider charges that cannot be recovered may be deducted.
- Refunds are not given where Premium access was suspended or ended because of a breach of these terms, where a free trial was used, or where the request is made after the period stated above, unless the law requires otherwise.
- Advertising fees and paid listings under section 8 are handled under the rules shown at the time of payment and section 8, and this section applies to them only where it fits.
- Nothing in this section limits any right you have under applicable Ugandan law.
15. User Content and Intellectual Property
Users retain the rights they lawfully hold in the content they create or upload.
By submitting content, users grant the Platform permission to host, store, display, format and distribute that content as reasonably necessary to operate the relevant service, subject to applicable law and the Privacy Policy.
Users confirm that they have the necessary rights or authorisation to submit the content.
Users must not upload material that infringes copyright, trademarks, privacy rights or other legal rights.
The Platform's own branding, website design, original text, software and other protected materials may not be copied, commercially exploited or redistributed without permission, except where permitted by law.
We may remove content that violates these terms or applicable law.
16. Privacy and Personal Information
We may collect and process information needed to operate accounts, provide services, respond to complaints, prevent fraud, process payments and maintain security.
Personal information must be handled in accordance with the Platform's separate Privacy Policy and applicable Ugandan data-protection requirements.
Users should not publish another person's phone number, email address, photograph, identity information or other personal details without an appropriate lawful basis or authorisation.
We will apply reasonable safeguards appropriate to the nature of the information and the risks involved. However, no internet-based service can guarantee absolute security.
The Privacy Policy should explain the categories of information collected, purposes of processing, sharing arrangements, retention practices, security measures and how users may exercise their applicable rights.
17. Notifications and Communications
The Platform may provide notifications concerning account activity, listing updates, accommodation availability, claims, transactions, security matters and service announcements.
Users may be able to control optional notifications through available settings.
Essential account, security or transaction communications may still be sent when necessary to provide the service or meet legal obligations.
Users must keep their contact details up to date if they wish to receive relevant communications.
18. Moderation, Suspension and Removal
To protect the community, we may review reports, investigate suspicious activity and remove content that violates these terms.
Depending on the circumstances, we may:
- Request clarification or supporting evidence.
- Temporarily hide a listing while investigating a complaint.
- Remove misleading or prohibited content.
- Restrict certain account features.
- Suspend or terminate an account for serious or repeated violations.
- Preserve or disclose information where required or permitted by law.
Where appropriate, affected users may contact the administrator to request a review of a moderation decision.
These measures will be applied subject to applicable law and any mandatory rights of users.
19. Availability and Technical Limitations
We aim to maintain a reliable and accessible service, but uninterrupted availability cannot be guaranteed.
The Platform may experience maintenance, technical failures, network interruptions, hosting problems, security incidents or third-party service outages.
We may modify, suspend or discontinue a feature where reasonably necessary for maintenance, security, legal compliance or operational reasons.
Where practicable, we will provide notice of significant planned changes that materially affect users.
20. Limitation of Liability
To the extent permitted by applicable law, Kyambogo Students Hub is not responsible for losses arising solely from:
- Transactions independently arranged between users.
- False information submitted by users or third-party providers.
- Unverified accommodation, product, employment or internship listings.
- Temporary service interruptions or third-party outages.
- A user's failure to verify information before acting on it.
- Unauthorised access arising from circumstances outside our reasonable control.
Nothing in these terms excludes or limits liability for fraud, wilful misconduct, negligence where liability cannot lawfully be excluded, or any other liability that applicable law does not permit us to exclude or limit.
Nothing in these terms removes rights that users have under mandatory consumer-protection or data-protection laws.
21. Indemnity
To the extent permitted by law, a user may be responsible for losses, claims or reasonable costs directly arising from that user's unlawful conduct, fraud, infringement of third-party rights or material breach of these terms.
This clause does not impose liability for losses caused by the Platform's own unlawful conduct or override any non-excludable legal rights.
22. Complaints and Dispute Resolution
Users should first contact the Platform administrator to report a problem or seek an informal resolution.
Complaints should include relevant details, dates, listing references and supporting evidence, without unnecessarily exposing sensitive personal information.
We will endeavour to review complaints fairly and within a reasonable time.
Where a dispute cannot be resolved informally, the parties may pursue the remedies available under applicable Ugandan law through the appropriate dispute-resolution process or competent authority.
23. Changes to These Terms
We may update these Terms and Conditions to reflect new features, operational changes, security requirements or changes in applicable law.
The latest version and its effective date will be published on the Platform.
Where a change materially affects users, we will provide appropriate notice where required by law. Continued use after a change takes effect may constitute acceptance only to the extent permitted by applicable law.
24. Applicable Law
These Terms and Conditions are governed by the laws of Uganda, subject to applicable mandatory legal requirements.
Any dispute will be handled by a competent authority or court in accordance with applicable law.
25. Severability
If any provision of these terms is held to be invalid or unenforceable, the remaining provisions will continue to apply to the extent legally permissible.
26. Contact Information
For questions, complaints, reports of fraud, copyright concerns or requests relating to these terms, contact the Platform administrator.
